Murafe or paper files?

The paper file is a Doha lawyer’s companion every day, and signed originals and stamped judgments belong in the cabinet. But a paper cannot be in two places at once, it reminds no one of a date, and it cannot tell you who opened it. On this page: what stays on paper, and what is better moved into Murafe.

Paper for the originals, Murafe for the daily follow-up

Murafe does not ask you to get rid of your paper files. Signed originals, stamped judgments and original powers of attorney stay in the office’s cabinet as they are; what moves into the system is what changes every day: hearings and their decisions, deadlines, vouchers and clients’ questions. And an office whose files are well ordered still needs law firm management software, because order alone reminds no one of anything.

The limits of paper show in very ordinary situations: a lawyer in the courtroom needs the decision of the previous hearing while the file is with a colleague at the office, a secretary hunts for a power of attorney number through three folders, or a copy goes missing from a receipt book. In Murafe, the lawyer opens the decision from their phone, the delegation letter is filled automatically with the number of the power of attorney in force, and a receipt voucher is never deleted once issued: it is cancelled with a reason and stays visible, stamped “Cancelled”.

None of this means a paperless office. The daily hearing roll is printed for those who prefer paper at court, forms and vouchers are printed on the office’s letterheaded paper, and the signed, scanned copy of any form is attached on its page. The difference is that paper becomes a copy of the record, not the record itself.

From paper files to Murafe in four steps

  1. Take stock of the active files

Take out of the cabinet whatever is still pending, and note for each active file its next hearing and any appeal or grievance deadline still open. This list is the starting point.

  2. Keep your file numbers

The client file number is generated automatically and can be edited to follow your office’s numbering, so the number written on the file’s cover stays the same in the system.

  3. Move the data and upload what matters

Entering the files’ data is a service arranged by agreement, or your team can take it on gradually. Scan the documents daily work needs and upload them to the case or client file with their type.

  4. Start with hearings and vouchers

Team training is arranged by agreement, and every employee finds a step-by-step user guide inside the system. Start by recording hearing decisions and issuing receipt vouchers in Murafe, as these are what recur most in an office’s day.

Questions about moving from paper files

No. The originals stay in the office’s cabinet, and the system holds the scans of the documents daily work needs, with each document’s type set, whether the client sees it, and who on the team may see it.

Murafe is a cloud system that works in the browser, so it needs an internet connection, and it can be reached from a phone over mobile data. If you want a fallback, print the daily hearing roll or save it as a PDF on your device before leaving for court.

Every file records its “Intake officer”: the employee who received the client’s papers and opened the file. When documents are handed over or received, the “Document handover acknowledgement” form is filled from the file’s data with a sequential number, and its signed, scanned copy is attached on its page.

Vouchers are printed in Murafe’s clear design: the original and an archive copy on one A4 sheet, a single copy, or landscape A5. Printing the letterhead can be switched off when you use the office’s pre-printed paper, and any form can be printed blank to be filled in by hand.

Anyone with the view permission can view a document, only those with the download permission can download it, and it can be restricted to people by name. Every view and download is recorded in the audit log, and your office has a separate database that is backed up every day.
