A family’s private matters… never leave the file’s team

In family and personal status cases, Murafe keeps the file before the Family Court or the inheritance circuits with a “Confidential case” option that limits it to its team, documents that can be restricted to named people, and a client portal in which the office decides exactly what each client sees.

From opening the file to closing it

  1. Start with the consultation

Record the first consultation with its category, its channel and the opinion given, and set a follow-up date if the client needs time to decide.

  2. Open the case as confidential

Choose the Family Court or the inheritance circuits as the forum, switch on “Confidential case” from the start, and set the case team.

  3. Add the file’s parties

In inheritance files, the heirs who instruct the office are added to the same case, each with their own file, capacity, account and fee agreement.

  4. Keep documents with their restrictions

Upload each document with its type, restrict the sensitive ones to named people, and choose what the client sees in the portal.

  5. Follow hearings and what reaches the client

Record each hearing’s decision and the next hearing, and decide for each hearing whether the client sees it and receives its reminders.

  6. Record the judgment and close the file

The judgment, its operative part and the last day to appeal proposed from the settings, then the status “Closed” or “Archived”.

The file for family and personal status cases, as it should be

  • Confidential case

A file that, among the office’s staff, only its team can see, along with anyone the office has given permission to view confidential cases.

  • Document for named people

Any document in the case can be restricted to particular names, so no one else sees it, not even others on the case team.

  • Several clients on one file

The heirs or family members instructing the office in the same case, each with their own capacity, file and separate account.

  • A fee agreement per client

Each client on the file is linked to their own fee agreement, so their instalments and statement of account are followed apart from the others’.

  • What shows in the portal

Hearings, documents, the financial account and services for each client, and the document types they are allowed to see.

  • Access log

Every view and every download of a document is recorded in the audit log with the employee’s name and the time.

Dates the system watches

  • A hearing reminder for the lawyer and their team, and for the client if the hearing is visible to them
  • The last day to appeal, proposed from the appeal periods in the settings, with alerts seven days and again two days before
  • The follow-up date set in the consultation
  • An alert before the power of attorney expires, by the period set in the settings
  • An alert before the Qatar ID of each client on the file expires
  • Each heir’s fee agreement instalments: due and overdue

The file’s papers

  • Statement of claim
  • Power of attorney
  • Marriage contract or divorce certificate
  • Children’s birth certificates
  • Certificate of heirs
  • Copies of Qatar IDs
  • Memoranda and hearing minutes
  • Judgment

Uploaded to the case file and previewed inside the system; the office decides who can see them.

Confidentiality on two levels: the case and the document

In Murafe, family cases are run with two layers of privacy. The first is at case level: the “Confidential case” option makes the file visible only to its team and to those with permission to view confidential cases, so it does not appear to the rest of the office’s staff. The second is at document level: within the case itself, a report or a piece of correspondence can be restricted to people named individually, so no one else sees it, not even others on the team. This is what a file needs when it holds papers that only the responsible lawyer should see.

The office sets the permissions around this precisely: here, the law firm management software separates “View and preview documents” from “Download documents”, so an administrative employee can view a paper without downloading it to their device. Every view and every download is recorded in the audit log with the employee’s name and the time, so if the office is ever asked who saw a document in a custody or maintenance file, it finds the answer in writing. Users are also signed out automatically after the period of inactivity the office sets.

Inheritance: many heirs in one case

Inheritance circuit files often bring together several heirs who instruct the office in a single dispute. Murafe lets you add all of them to the same case file through “Add client”: each heir has their own file, capacity and separate account, all under one case. On the hearing roll, the hearing appears under the first client’s name with, for example, “and 3 others”; the roll is printed with the names in full, and search finds the file by any of them. If one of the heirs has been entered twice, the duplicate files screen catches it and merges the two into a single record.

And because each heir has their own financial obligation, every client on the file is linked to their own fee agreement through the “Edit capacity / fee agreement” button, so each agreement’s instalments are followed separately and each client gets a statement of account of their own. The system will not link a client to an agreement that is not theirs. This way, what one sibling has paid never gets mixed up with what another has paid, and the accountant needs no side spreadsheets to know what each of them still owes. If the office allows it, each heir sees only their own account in the portal: what they have paid, what remains and the next instalment.

Measured communication with the client

A client in a family case may be going through a hard time, and a careless message only adds to their worry. So in Murafe the office chooses what each client sees in the client portal: hearings, documents, the financial account, services, and the permitted document types, such as judgments and statements of claim. Each hearing has an option that decides whether the client sees it and receives its reminders. Clients can be limited to viewing documents inside the portal without downloading them, so copies of sensitive papers do not end up on devices the office does not know.

When a case’s status changes, an optional note can be added; it is recorded under “Updates” and shown to the client, so it is written with care before saving. The client writes to the office from the message box in the portal: the message reaches the responsible lawyer and the case team, the client sees when it has been read, and the reply arrives in the same box, keeping the conversation in a channel the office knows instead of scattered messages on personal phones. Email and WhatsApp notifications are written from templates the office prepares, with a preview of the text before sending, and every message is recorded with its status in the message log.

Questions about family and personal status cases

The office decides that itself. A confidential case is visible to its team and to anyone given the “View confidential cases” permission; if that permission is given to the managing partner’s role, they see it, and if not, they see it only if they are a member of its team.

Add the heirs to the same case file through “Add client”, each with their own capacity, file and account, and link each one to their own fee agreement. On the roll, the hearing appears under the first client’s name with the number of others, and the roll is printed with all their names in full.

No, only what the office chooses. For each client, the office sets the document types they may see, and whether they can download them or only view them inside the portal; they see nothing that has not been marked as visible to the client.

Yes, under “Reports and complaints”, with the police station, the reference number and the competent prosecution office, including the Juveniles and Family Prosecution in the preset list. Its status is followed until referral, shelving or settlement, and it is linked to the case if it is referred.

Yes. Murafe records every view and every download of a document in the audit log with the employee’s name and the time. An employee can be allowed to view documents without downloading them, because viewing and downloading are two separate permissions.
