Dozens of workers or one company… and every file in its place

Whether the office represents workers claiming their entitlements or a company facing a labour dispute, Murafe keeps the file in order before the Labour Disputes Settlement Committee and at any later degree, and keeps each client’s full details and the notification channel they prefer, so updates reach them by WhatsApp or email.

  • Labour Disputes Settlement Committee
  • General Retirement and Social Insurance Authority Disputes Settlement Committee
  • Court of Appeal
  • Court of Cassation
  • Execution Court

From opening the file to closing it

  1. Receive the papers and record the handover

The intake officer is recorded on the file, and a “Document handover acknowledgement”, filled from the client’s file, is printed when their papers are received or returned.

  2. Complete each client’s details

The Qatar ID or passport number and its expiry date, nationality, phone and WhatsApp, or the commercial registration for an employer.

  3. Open the file before the committee

The forum is the Labour Disputes Settlement Committee, with the clients, the opponents and their capacities, and the case team.

  4. Follow hearings and notify the client

Each hearing’s decision and the next hearing, and a notification to the client by WhatsApp or email from a template the office prepares.

  5. Record the decision and its deadline

The outcome, operative part and amount, and the last day to appeal, proposed from the “Dispute settlement committees” periods in the settings.

  6. Move on to the next degree or to execution

From the committee file, the file for the new degree or the execution file is opened, linked to it.

The file for labour cases, as it should be

  • The client’s ID and nationality

The Qatar ID or passport number, its expiry date and nationality, with an alert before the ID expires.

  • The employer

The company as client or as opponent, with its commercial registration number; opponents are searched by ID or commercial registration number.

  • Several workers in one file

If the dispute brings together more than one worker, each has their own file and account, and the hearing shows under the first name with the number of others.

  • Preferred notification channel

Phone, WhatsApp and email for each client, and the channel through which they prefer to receive updates.

  • Forum

The Labour Disputes Settlement Committee or any of the other preset committees and courts, with the file number and year.

  • Missing details

A notice at the top of the client list showing whose details are incomplete or whose ID has expired, and what must be completed in their file.

Dates the system watches

  • A worker’s Qatar ID expiring: an alert 30 days before by default, a period you can change in the settings
  • A hearing reminder to the worker by email or WhatsApp, if the hearing is visible to them
  • Reminders to the lawyer and their team of the committee’s hearings
  • The last day to appeal, proposed from the “Dispute settlement committees” periods in the settings
  • The worker’s or the company’s power of attorney nearing expiry

The file’s papers

  • Employment contract
  • Payslips or bank transfers
  • Copy of the Qatar ID or passport
  • Power of attorney
  • Correspondence with the employer
  • Memoranda
  • Committee decision
  • Document handover acknowledgement

Uploaded to the case file and previewed inside the system; the office decides who can see them.

When the clients are many

In a single week, a law office in Qatar may take on a number of workers in similar disputes, each with their own papers and phone number. Murafe keeps a file for each worker with an automatically generated number, along with the Qatar ID or passport number and its expiry date, nationality, phone and WhatsApp. If a worker already on record is entered with the same ID or phone number, the system warns at once, and any duplicate that slips through is caught by the duplicate files screen and merged into a single record with everything that belongs to it.

At the top of the client list, the number of incomplete files and of IDs that have expired or are about to expire is shown, and one click lists the names concerned; each client’s file states what must be completed, so staff know whom to call for a missing paper before the hearing. Before an ID expires, an alert goes to the office team and to the lawyers responsible for the client’s cases, and the date appears in the agenda under “ID expiries”. If the dispute brings together more than one worker, they are all added to the same case file, each with their own capacity and account.

From the committee onwards

In Murafe, a labour case is entered before the forum chosen from the preset list, which includes the Labour Disputes Settlement Committee and the General Retirement and Social Insurance Authority Disputes Settlement Committee. When the forum is a committee, the system treats the file as a “Dispute settlement committees” case when proposing the last day to appeal. The office’s lawyers review those periods and change them whenever they see fit: the system proposes, the lawyer decides, and legal responsibility lies with the office. If the dispute moves up to a higher degree, its file is opened from the committee file, linked to it.

On the other side, the client may be the employer itself: a company facing more than one claim. The company is registered with the type “Company / establishment”, its commercial registration number and its contact person, so the labour cases brought against it gather in its file with their statuses, and the claimant workers are recorded as opponents with their capacities. Its matters are linked to one or more fee agreements, whose due and overdue instalments are followed from the “Fee instalments” page, and its vouchers are issued in Qatari riyals. If these files are spread across several lawyers, each file shows its “Assignee” and “Intake officer”, and the statistics show how many were assigned to each of them during the period.

The client knows what is happening… from their phone

Many workers follow their cases from their phones, and WhatsApp is the channel closest to hand. So the office sets each client’s preferred notification channel in their file, and sends “Notify client” from the case file by WhatsApp or email, from a template with variables such as the client’s name, the case number and the hearing date, with a preview of the text before sending. In “WhatsApp link” mode, the system opens WhatsApp on the employee’s device with the message ready, while automatic hearing reminders are sent according to the office’s settings.

Every message is recorded in the message log with its status: sent, failed or sent manually, so staff know whether a reminder got through or a phone call is needed. If the office switches on the client portal for the worker, they see their hearings and the updates allowed, and write to the office from the message box instead of calling again and again. When their papers are received or returned, a “Document handover acknowledgement” filled from their file is printed, and the signed copy is attached on the form’s page.

Questions about labour cases

Yes. Each worker has a file with an automatically generated number and details whose gaps are flagged, and if a dispute brings together more than one worker, they are added to the same case file, each with a separate account. The hearing roll is printed every day with the names of all the clients, and search finds the file by any of those names.

Murafe warns when a client is entered with a Qatar ID number or phone number already on record. Anything that slips through is gathered on the “Duplicate files” screen by name, ID number or commercial registration: you choose the record that stays and type the confirmation word, and everything belonging to the duplicate moves to it. A merge cannot be undone, and it is recorded in the audit log.

Because the system determines the case type from the forum and the matter type: if the forum is a committee, it uses the “Dispute settlement committees” period from Settings → Appeal periods, and if it is a court, it uses the period set for that court. The office’s lawyers review and adjust the values, and legal responsibility for deadlines lies with the office.

Yes, if client reminders are switched on and the hearing is visible to them. Sending by WhatsApp automatically requires the WhatsApp Cloud API to be set up in the settings; without it, the employee sends the message themselves in “WhatsApp link” mode. Every send is recorded with its status in the message log.

Yes. The employer company is registered as a client with its commercial registration and its representative, and each claimant worker is entered as an opponent, with their capacity, in their case. The client portal can be switched on for the company’s representative to follow the hearings of the cases brought against it and the updates the office allows.
