Sensitive files, many teams… and every view logged by name
In a large office it is not enough for everyone to work on one system; what matters is who sees what, who approves what and who changed what. Murafe gives every role precise permissions for each section, keeps confidential cases to their teams, passes service and expense requests through the finance department and then senior management, and keeps every action in an audit log with the name, the time and the device.
What weighs on your day today
More access than anyone needs
When every lawyer sees every file in the office, the circle of people who know the secrets of clients whose cases are none of their concern grows wider, and non-disclosure becomes harder to keep.
A sensitive file in many hands
A well-known client’s dispute needs a small team, but its documents travel by email and shared folders with no trace of who opened or copied them.
Spending with no approval path
An expense request approved with a signature on paper or a passing message, and a month later nobody knows who approved it, when, or against what balance.
Management gathering figures by hand
How files are spread across the lawyers, which memoranda are late and how many cases sit at each litigation degree are collected from the teams before every meeting.
What changes in your office
Permissions for every section and action
View, add, edit, delete and print for each section, and roles you create to fit your office’s structure and change whenever it changes.
Exceptions for one employee
A permission given to one employee alone or withheld from them, shown in green or red, without touching their role or their colleagues.
Confidential cases and restricted documents
A confidential case is for its team and those who hold the permission for it, and any document inside it can be limited to people named individually.
Two-stage approval
Service requests and expense requests pass through the finance department and then senior management, and the accountant issues the payment voucher from the approved request.
A detailed audit log
Additions, edits, deletions, sign-ins, views, downloads and printing, with the user’s name, the time and the device, and the old and new values.
Figures for management
Cases by litigation degree, status and lawyer, the received-by and assigned-to report, and a tally of consultations, to print or export to Excel.
From morning to the last hearing… with Murafe
- 8:30 am
A new lawyer joins
The system administrator creates their account with the “Lawyer” role and their registration number, so they appear in the lists of responsible lawyers, and they are asked to change the temporary password at first sign-in.
- 10:00 am
Opening a sensitive file
The partner turns on the “Confidential case” option and sets a team of three lawyers, then limits an internal document to just two of them.
- 12:30 pm
An expense request waiting
An expense request for expert fees reaches the finance department, which agrees to it after checking the client’s balance; the partner then approves it as senior management, and the accountant issues the voucher from the request itself.
- 3:00 pm
A question about a change
Management opens the audit log and filters it by user and period, and sees who changed a hearing date, the old and new values, and from which device.
- 5:00 pm
An employee leaves the office
The system administrator suspends the account of a lawyer who has left the office: their access stops, and their records and work stay in the files for whoever takes them over.
Why is managing a large office different?
Because the number of people who touch a file grows with the office, and with it the risk of unnecessary access and of mistakes no one can trace. A case management system in a large office must answer three questions at any moment: who is entitled to see this file? Who approved this payment? Who changed this date? Murafe answers them with tools the office runs itself — permissions, approvals and an audit log — without slowing down the lawyers’ daily work.
Separation starts at the foundation: every office on Murafe has its own database, its own file storage and its own address, so its data never mixes with another office’s. Inside the office every screen goes through the role’s permissions; even the statistics are calculated within the permissions of the person viewing them, so a lawyer does not see figures for files they are not entitled to open, nor reach a document they have not been allowed. Even the client in the client portal sees only the hearings, documents and account the office has chosen for them.
In a multi-team office, each case’s “case team” becomes the unit of organisation: it is set when the file is opened, copied to the appeal, cassation or execution file when that is opened, receives the alerts for hearings and appeal deadlines, and can have a chat group of its own. In “Statistics and reports” you choose a lawyer to see their figures alone, or leave the choice empty to see the whole office. A file does not disappear from the person who received it when it moves to another team, so the trace of who first received the client is never lost.
Who sees what: permissions in three layers
The first layer is the role: you create roles such as partner, lawyer, consultant, accountant and secretary, and set view, add, edit, delete and print for each section, with “Select all” to grant a whole section. The second is the scope of access: “View cases assigned to them” or “View all office cases”, plus “View confidential cases” for sensitive files. The third is employee exceptions: a permission given to one person alone or withheld from them without changing their role, with a “Reset to role permissions” button to undo the customisation.
Money and documents have permissions of their own, because access to a file does not mean access to everything in it. “View fees, paid and outstanding” decides who sees the amounts in services and consultations, “View office expenses” keeps salaries and rent apart from case expenses, and “Download documents” is separate from viewing them. Every printout has a “Print” column in the permissions table, so an employee may see a client’s statement of account without being able to print it.
Approval and accountability: a name and a time for every step
In a large office, money is not paid out on a verbal decision. The employee fills in an “Expense disbursement request” and the finance department is alerted; it agrees or disagrees, with a note, after reviewing the balance, the amount to be deducted and what remains, and senior management then approves the request or rejects it with the reason. Once it is approved, the accountant issues the payment voucher from the request’s page; the request is recorded as carried out and the voucher number is printed on it. In a “Litigation service request”, senior management sets the case team and the fee arrangement.
The audit log keeps all of it: additions, edits, deletions and sign-ins, document views and downloads, and voucher printing by number, with the user’s name, the time and the device. The office can switch off technical support’s access to its system, and every support visit is written to the same log. When an employee leaves, their account is suspended and their work remains, and any user is signed out automatically after the period of inactivity the office sets. Deletions are logged with a description of the deleted record, and data can be recovered by restoring an earlier backup.
Questions for large, multi-team firms
Yes. A confidential case appears to its case team and to those with the “View confidential cases” permission. If you add the lawyer to the team of one particular confidential case, they see that case alone and none of the other confidential files unless they are given the permission.
Yes. Every document view and download, and every printout with the document’s number, is written to the audit log with the employee’s name, the time and the device. Only those with the “View audit log” permission can see the log.
Passwords are stored with secure hashing, the connection is encrypted, an account is locked for a while after several failed sign-in attempts in a row, and users are signed out automatically when inactive. A new employee must change the temporary password at first sign-in, and the system administrator can unlock or suspend any account.
The office decides this with permissions: using chats, creating groups, and “Supervision”, which allows viewing all conversations. The supervision permission is given only to those the office chooses, so it is best for the team to know the limits of privacy from the start.
In “Statistics and reports” you choose the period and the lawyer to see cases by litigation degree and status. The “Received by and assigned to” report shows how many files each employee has received and been assigned; you then print the report, save it as a PDF or export it to Excel.
