Start your office organised… and keep the same system as it grows

The easiest time to organise an office is before its first file. With Murafe, your new office starts at its own address with its logo, colours and typeface, its team’s roles, its own fee agreement wording, forms filled in from the system and a portal for its clients; then it adds lawyers and staff as it expands, in the same all-inclusive package.

What weighs on your day today

  • Temporary fixes that become permanent

A notebook for hearings, a spreadsheet for fees and a WhatsApp group for the team: quick start-up fixes that are hard to give up after a year of work.

  • The office’s image before its first client

A handwritten voucher and an agreement without a letterhead tell the first client that the office is not quite complete yet, however capable its lawyers are.

  • Numbering with no rule

Client and case file numbers start any old way, then become hard to standardise once the files pile up and more hands are involved.

  • A system you outgrow

Software that is enough for one lawyer, then the office has to move its data all over again when it takes on a second lawyer and an accountant.

What changes in your office

  • Your office’s identity from day one

Your logo, colours, typeface and tagline on the sign-in page, the screens, the printouts and the client portal, at an address of your office’s own.

  • A fee agreement in your own wording

A template with its title, preamble, clauses and signatures, starting from a default version that your lawyers review and edit before the first agreement.

  • Roles before staff

Ready-made roles you adjust, so everyone who joins later takes on their role and permissions from their first sign-in.

  • Official forms and printouts

The service request, the expense request, the consultation form and the document handover acknowledgment, with a serial number and the office’s letterhead.

  • A portal for your clients

Clients sign in with an account the office activates and see the hearings, documents and account you choose, and clients are not counted as users.

  • A system that grows with you

One all-inclusive package with no limit on users or documents, so a lawyer or an accountant joining means no new system and no data migration.

From morning to the last hearing… with Murafe

  1. 9:00 am

    The office’s official details

In Settings → Office details, the partner enters the professional establishment licence number, the name of the lawyer who owns the office and the address, to be printed on agreements and delegation letters.

  2. 10:30 am

The agreement template and appeal periods

With a colleague, the partner reviews and edits the clauses of the “Fee agreement template”, then the two go over the starting periods in Settings → Appeal periods and set them according to their own legal assessment.

  3. 12:00 pm

    The team’s accounts

Adds an account for the new lawyer, with the “Lawyer” role and her registration number, and one for the secretary with the “Secretary” role, each with a temporary password to change at first sign-in.

  4. 2:00 pm

    The first client

The client’s file number is generated automatically and adjusted to the numbering scheme the office chose; the agreement is then written from the template and printed on the office’s letterhead, and the receipt voucher for the first instalment is issued.

  5. 4:00 pm

    The client’s portal

Turns on the client’s portal access, chooses to let them see hearings, judgments and statements of claim without downloading them, and sends them their sign-in details by WhatsApp.

Why should a new office start with a management system from day one?

Because getting organised costs less at the start than at any later time. An office that starts with notebooks and spreadsheets needs, a year on, to gather its files from scattered places and move them, while an office that starts on law firm management software builds its record day by day: every client with a numbered file, every case with its litigation degrees and hearings, every amount with a voucher. Murafe needs no servers to buy and no software to install: a browser on a computer or a phone is enough, which suits an office spending carefully in its first year.

The system comes set up for how offices work in Qatar, in Doha and beyond: litigation degrees from first instance to cassation, execution and arbitration; the names of Qatari courts, prosecution offices and committees ready in the lists; and amounts in Qatari riyals written out in words on vouchers automatically. The team does not spend its first weeks building lists but starts entering clients and cases straight away, and finds inside the system a user guide that explains every section step by step. If the office needs a body that is not in the lists, the system administrator adds it in Settings → Lookup lists.

The office’s identity and papers: the client’s first impression

Your office’s system runs at its own address, or on a domain in your office’s name on request, and appears with its logo, colours, typeface and tagline on the sign-in page and in the letterhead of printouts; we prepare this identity at launch. When it is installed on a phone, its icon carries the office’s logo. Receipt and payment vouchers come out in Murafe’s clear design with your office’s identity: the original and an archive copy on one A4 sheet, a single copy, or landscape A5. If you have paper pre-printed with your logo, you turn off letterhead printing and its space is left blank.

The papers that carry the office’s commitments start from its own wording: the “Fee agreement template”, with its title, preamble, clauses and signatures, in which only the variable parts are filled in, from the scope of work, written from the case details at the press of a button, to the fee in figures and in words and the instalment schedule. Alongside it come four official forms: a service request form, an expense request form, a legal consultation form and a document handover acknowledgment, each with a serial number and a preview exactly as it will print.

A team that grows without the system changing

When the new office takes on a second lawyer, a secretary or an accountant, you only need to create an account for them and choose their role. The roles come ready-made (managing partner, lawyer, consultant, researcher, accountant, secretary and court representative), you adjust their permissions for each section to suit your office, and you add an exception for a single employee when needed. From the start you decide who sees all cases, who sees fees and who downloads documents, so trust is not built on unwritten habits.

As the number of clients grows, the value of what you started early shows: the client portal eases their repeated questions, reminders reach them by email or WhatsApp following your message templates, and the statistics show the office’s growth by litigation degree, status and lawyer. The subscription is one package with every module and no cap on the number of users or on document storage, priced on request according to the office’s size and needs, with a trial possible before subscribing; setup and team training are arranged by agreement. Clients who sign in to the client portal are not counted as users.

Questions for a new firm starting out

Before the first file is registered, if possible, because every file that enters the system from the start is one you will not have to move later. You can begin with the sections you need today, such as clients, cases, agreements and vouchers, and the other sections stay ready for whenever you need them.

No. Murafe runs in the cloud from the browser; every office has its own database and its own address, and its data and files are backed up daily. All your team needs is a computer or a phone with an up-to-date browser.

Yes. Your system runs at your office’s own address with its logo, colours and typeface, and its identity appears on the sign-in page, in the client portal, on the printouts and on the app icon on the phone. We prepare this identity for you at launch.

No. There is one package for every office, with every feature and no limit on the number of users, so you add lawyers and staff whenever they join without changing systems or losing any data; the price is set by the size and needs of your office.

Yes. Every office starts with a default version in Settings → “Fee agreement template”, which its lawyers review, editing its title, preamble, clauses and signatures; the variable parts are then filled in from the agreement, the client’s file and the office’s details at printing. The agreement can also be printed blank to fill in by hand.
