Every riyal has a voucher… and every voucher leaves a trail

In Murafe the accountant works on the office’s fees from agreement to collection: following overdue instalments and those falling due, issuing receipt and payment vouchers on the office’s letterhead with the amount in words, reviewing expense requests as the finance department, producing a client’s statement of account and the financial summary for any period and, if given the permission, deciding what each client sees of their account in the client portal.

What the accountant sees on opening the system

Murafe — Accountant

  • Overdue instalments

Their number and amount on the dashboard, and in “Contract instalments” those overdue and those due within 7 or 30 days.

  • The month’s income and expenses

What was received and what was paid out this month, with the detail in the “Financial summary” for any period.

  • Awaiting your action

Expense and service requests waiting for the finance department to agree or disagree, with the balance, deduction and remainder fields in the expense request.

  • New request alert

When an employee saves a service request or an expense request, the finance department is alerted.

  • Colleagues’ chats

A lawyer’s question about a client’s balance or a voucher reaches you instantly, instead of as a phone call.

Six daily tasks… in one place

  1. A receipt voucher for an instalment

Selects the client, the agreement and the instalment, and the payment method: cash, a cheque with its number, date and bank, a card, or a transfer with its reference number; the voucher prints with the amount written in words in Qatari riyals.

  2. Reviewing an expense request

Reads the client’s expense balance, the amount to be deducted and what will remain, with the help of the client’s account shown in the request itself, then records agreement or disagreement with a note.

  3. A payment voucher from the approved request

Once senior management approves the request, issues the payment voucher straight from it; the request closes as carried out and carries the voucher number when printed.

  4. An expense charged to the client

Links the payment voucher to the case or service and marks it “Charged to client” so that it appears in the client’s statement; anything not linked to a client counts as an office expense.

  5. A client’s statement of account

Chooses the client and the period, and the opening balance, the debit and credit entries, the closing balance and a summary of agreements appear, to print or save as a PDF.

  6. Court-appointed counsel fees

Records what the court awarded in court-appointment cases and the date it was paid, and follows the fees not yet paid and the cases whose fees have not been set; these fees do not go into the client’s statement of account.

Example permissions for the accountant

An example only: every office sets the permissions of each role for each section (view, add, edit, delete, print), and can grant them to a particular employee or withhold them.

For the accountant to work with less effort

  • Always link the receipt voucher to the agreement and the instalment: that is what updates the instalment’s status in the client’s payment schedule and in their portal.

  • If a voucher was issued by mistake, cancel it with the reason and then issue the correct one: the cancelled voucher stays visible with a “Cancelled” stamp, and the transaction never disappears from the record.

  • Turn off the “Print letterhead” option if you print on the office’s paper with the logo already printed on it, and choose A4 for the original and a copy, or landscape A5.

  • Arrange with the system administrator to turn on payment reminders in the settings, so clients are reminded of instalments falling due by email or WhatsApp without manual follow-up.

Questions about the accountant role

An issued voucher is never erased: it is cancelled with the reason for cancelling it, and it stays visible with a “Cancelled” stamp. Every financial transaction thus stays on record, and the cancellation is kept in the audit log under the name of whoever made it.

Murafe does not connect to external accounting software. Office expenses and reports can be exported to a file that opens in Excel, and statements of account printed or saved as a PDF for use in your books. All amounts stay in Qatari riyals in the vouchers, the statements and the financial summary.

If allowed: their total fees and expenses, the amount paid, the balance remaining and what is due now, including how much of it is overdue, the percentage paid and the next instalment, the instalment schedule of their agreements with each status, the statement of account and receipt vouchers. This is decided by whoever holds the “Show the client’s account in the portal” permission.

A payment voucher linked to a client, a case or a service counts as a case and client expense, and one linked to none of them counts as an “Office expense”, such as rent and salaries. The financial summary shows the two separately, and viewing office expenses is a separate permission.
